The Music Department Manager oversees the daily operations of the Music Department and is responsible for managing all Music Department-related administrative, curricular, communication, and event planning needs. The position will also provide administrative and instructional support for the Conservatory to Go programs and Outreach programs as needed.

Primary Responsibilities:

  • Serves as the primary contact for the music department with parents, students, and staff. Maintains contact lists and regularly communicates with all music department stakeholders.
  • Provides guidance to parents and students regarding registration, classroom, and ensemble placement.
  • Creates contracts for part-time and adjunct faculty and guest teaching artists in cooperation with the Music Department Chair.
  • Manages room and performance hall reservations, ticketing setups, and equipment requests for Music Department classes and events.
  • Manages coordination of private lesson recitals, open classrooms, and honor recitals. Assists Music Department Chair with department-wide concert events and performances.
  • Manages the department classroom teaching and performance schedules to ensure accuracy and accountability.
  • Partners with the Admissions' Office to ensure that all student records are up-to-date and accurate before students begin class. Oversees all class rosters for music instructors. Collects attendance records and creates attendance reports for the Music Department Chair.
  • Manages collection of department data such as lesson plans and syllabi, student evaluations, and music performance concert programs.
  • Teaches classes in area of expertise, as assigned
  • Assists with Community Outreach events, planning, and recruiting as needed.
  • Assists with music summer camp management and camp support.
  • With HR and Music Department Chair, manages the hiring process, payroll, and scheduling of all Music Department faculty, ensuring that all required paperwork is completed accurately and within specified process deadlines.
  • Records and inputs bi-weekly payroll for private lesson instructors and part-time staff.
  • Resolves staff, artist, and customer problems and/or concerns in cooperation with Music Department Chair.
  • Participates and assists with orientation for music students, parents, faculty, and staff.
  • Partners with internal departments to ensure organizational objectives are met.
  • Schedules student auditions and class/ensemble placements and communicates this information to teachers, students, and parents.

Minimum Qualifications (Knowledge, Skills, and Abilities):

  • Strong organizational and administrative skills.
  • Experience with establishing and maintaining positive relationships with students, parents, theater educators, artists, and administrators.
  • Strong communication skills (both verbal and written), particularly telephone communication skills.
  • Ability to initiate and complete tasks independently.
  • Proficient in the use of Microsoft Office applications.
  • Availability to work a flexible schedule including nights and weekends when needed.

Education and Work Experience:

  • College degree in related area required. Equivalent related work experience as a music educator or performer may be substituted for college degree.
  • Working knowledge of music and music pedagogy.
  • Minimum of three years' administrative experience required.
  • Minimum of three years' experience in teaching and curriculum design required.
  • Experience in music performance, basic accounting, and general management.
